ChatPilot ("we", "us"), a product of Wyrelane (Pty) Ltd, provides AI-powered WhatsApp assistants for small businesses in South Africa. This policy explains what personal information we collect, why, and what you can do about it. It's written to be genuinely readable, not just legally exhaustive — if anything here is unclear, contact us using the details at the bottom.

Who this applies to

Two different groups interact with ChatPilot, and this policy covers both:

What we collect

From clients: business name, contact name, WhatsApp number, billing details, and the content you give your bot to work with (your products, pricing, and policies). If you upload product photos or a profile picture, we store those too.

From end customers messaging a client's bot: your WhatsApp number and the messages you send. We keep a short rolling window of recent conversation history (24 hours) so the bot has context for a natural back-and-forth — older messages aren't retained beyond that.

If a bot creates a booking on your behalf (because you asked it to), we store what you told it: your name, what the booking is for, and your preferred date/time.

How we use it

Who we share it with

We use a small number of service providers to actually run ChatPilot. Each only sees what it needs to do its specific job:

Some of these providers are based outside South Africa, meaning your information may be processed internationally as part of how ChatPilot works. We only use providers with their own appropriate security and privacy commitments in place.

How long we keep it

Conversation history between an end customer and a bot is only kept for 24 hours of inactivity before it's treated as stale. Client business records are kept for as long as the account is active, plus a reasonable period afterward for legitimate business and legal purposes (e.g. billing records).

Security

Access to the admin dashboard is password-protected. Each client's portal is accessible only via a long, unguessable link unique to them. Connections to ChatPilot are encrypted. No system is perfectly secure, but we take reasonable, genuine steps to protect what we hold.

Cookies

Our website doesn't use tracking or advertising cookies. If that ever changes, we'll update this policy first.

Children

ChatPilot isn't directed at children, and we don't knowingly collect personal information from anyone under 18.
